MyNumisVault is a secure digital inventory and documentation system for numismatic collectors, designed to organize coins, banknotes, medals, tokens, and related collectibles with images, catalog details, research notes, import tools, encrypted backups, and owner-controlled access.

New account requests require site-owner approval before access is granted. Test access is limited to 5 saved items and expires 10 days after admin approval, after which the test account and its data may be permanently deleted. Privacy note: exact storage locations are hidden in public reports by default. Use encrypted backup export for sensitive offline copies. Password reset is not available; users must remember and securely store their passwords.

About MyNumisVault

MyNumisVault is a secure digital inventory and documentation system for numismatic collectors, designed to organize coins, banknotes, medals, tokens, and related collectibles with images, catalog details, research notes, import tools, encrypted backups, and owner-controlled access.

Collectors can create structured records for each item, upload obverse/front and reverse/back images, record catalog and identification details, track grading, value, provenance, authentication notes, organization status, history, reports, and export encrypted backups for safekeeping.

Full Access subscription: Full Access is offered as a monthly subscription of $19.99 USD per month through PayPal subscription payment. Full Access allows broader inventory management, including adding, editing, deleting, replacing, importing, and updating collection records.

ChatGPT account requirement: to fully use the ChatGPT-assisted workflow, users need their own valid ChatGPT account, preferably a paid ChatGPT account with access to file upload, image analysis, and spreadsheet-generation capabilities. ChatGPT is a separate third-party service; any ChatGPT subscription, account limits, availability, outputs, errors, or fees are the user's responsibility and are not included in the MyNumisVault subscription.

Owner-controlled access: New account requests require site-owner/admin approval. The admin can review pending and approved users, see access level and item counts, and delete a user completely, including that user account, inventory records, and uploaded image folder.

Test access limit and expiration: Test access is limited to 5 saved items. Test users cannot edit, delete, or replace saved items. Test access expires 10 days after admin approval; after expiration, the test account, inventory records, and uploaded image folder may be automatically and permanently deleted from the system.

No password reset: MyNumisVault does not provide a forgot-password or password-reset feature. Users are responsible for remembering, securely storing, and protecting their account passwords. Lost or forgotten passwords may result in loss of access, and subscription payments are not refundable because a password was forgotten.

How to use MyNumisVault

Manual entry: click Add item. The item form opens on the Images tab so you can upload obverse/front and reverse/back images first. Then complete the Catalog, Grading, Value, Provenance, Authentication, Coin/Banknote, Organization, and History tabs manually and click Save item.

ChatGPT-assisted field completion: after signing in, click Copy Prompt to copy the latest MyNumisVault-compatible spreadsheet prompt. Click ChatGPT to open chatgpt.com, upload the required item images, paste the prompt, and ask ChatGPT to generate the Excel workbook. Return to MyNumisVault and use Import XLS Field Sheet to populate item fields. Review imported values, confidence, citations, and notes before saving.

Dashboard buckets and catalogue: use dashboard buckets, filters, reports, and the Digital Catalogue workflow to review high-value items, authentication needs, wishlist records, duplicates/trade items, and selected catalogue output.

Important user responsibility

You are solely responsible for your collection data. You are responsible for the accuracy, legality, ownership records, images, values, purchase details, backup copies, passwords, and decisions entered into or made from the tool. MyNumisVault does not provide appraisal, authentication, legal, tax, insurance, investment, or financial advice.

Password responsibility: there is no forgot-password or password-reset feature for this site. Users must remember their passwords and keep their own secure password records. MyNumisVault and associated individuals are not responsible for user lockout caused by forgotten, lost, or mishandled passwords.

No-refund policy: subscription payments are non-refundable to the maximum extent permitted by law. By subscribing or continuing to use the service, the user acknowledges that they have read and accepted the user manuals, legal clauses, policies, terms, conditions, disclaimers, and liability agreements made available by MyNumisVault.

Server deployment and protection: this build includes backend authentication, signed sessions, password hashing, server-side collection storage, server-side image uploads, owner approval, Admin-only user management, plan/access restrictions, automated 10-day test-user expiration cleanup, encrypted backup/export, PayPal subscription button support, reports, XLS/XLSX field-sheet import, and a consolidated Terms page covering terms, privacy, subscriptions, refunds, password responsibility, disclaimers, ChatGPT third-party requirements, and data responsibility.

Add obverse/front, reverse/back, supporting images, holder photos, certificates, labels, and other documentation for each record.

Track Catalog, Images, Grading, Value, Provenance, Authentication, Coin/Banknote, Organization, and History information.

8. XLS/XLSX field-sheet import

Import compatible spreadsheets with Section, Field Name, Value, Confidence, Source / Citation, and Notes columns to populate item fields, including the Catalog tab.

9. ChatGPT-assisted workflow

After login, use Copy Prompt and ChatGPT shortcuts to create a structured spreadsheet for import. To fully use this workflow, the user needs a valid, preferably paid, ChatGPT account that supports image uploads, file handling, and spreadsheet output. The final data should always be reviewed by the user before saving.

10. Flexible inventory views

Display inventory as image cards with size controls, compact lists, or sortable detail-table views for spreadsheet-style review.

11. Dashboard buckets

Quickly inspect high-value items, authentication needs, wishlist records, and duplicate/trade items from clickable dashboard buckets.

12. Digital Catalogue and reports

Filter items and generate printable catalogues or reports with key collection details and selected images.

13. Valuation and insurance tracking

Record purchase price, current value, insurance value, valuation dates, sale details, fees, and related notes for personal collection tracking.

14. Provenance and authentication records

Store acquisition history, previous owners, certificates, authenticity status, expert notes, security features, and counterfeit-risk notes.

15. Encrypted backup export

Export encrypted backups using a password chosen by the user. The backup password is not recoverable by MyNumisVault. Users are responsible for keeping backup passwords and account passwords safe.

16. User data responsibility

Users are solely responsible for the accuracy, legality, ownership, value, backup, security, and use of their own collection records and images.

17. Legal and no-refund acknowledgement

Subscription use is subject to the Terms, no-refund policy, disclaimers, liability limits, user manuals, policies, and all applicable user agreements.

18. Separate ChatGPT account required

The ChatGPT-assisted import workflow requires the user to maintain their own valid ChatGPT account, preferably a paid account. MyNumisVault does not provide, control, guarantee, or include ChatGPT access.

20. Server-side protection
