MyNumisVault User Guides

Use the tabs below to view the Test User Guide or the Full Access Guide. Both guides follow the current MyNumisVault workflow, including account approval, inventory limits, XLS/XLSX import, image uploads, and encrypted backup export.

1. Request Test Access

  1. Open MyNumisVault.
  2. Enter your email address.
  3. Enter your password.
  4. Select Test access — limited to 5 items.
  5. Click Request Access.
  6. Wait for the site owner/admin to approve your account.
You cannot log in until the admin approves your request.

2. Log In After Approval

  1. Return to the MyNumisVault login page.
  2. Enter the approved email address.
  3. Enter your password.
  4. Click Sign in.

After login, you will see the inventory dashboard, reports, filters, and item tools. Password reset is not available on this site, so make sure you remember your password.

3. Test User Limits

A Test User is limited to trying the tool before purchasing Full Access. Test Access expires 10 days from the date and time of admin approval.

  • You may add new items until the 5-item limit is reached.
  • Once an item is saved, it cannot be edited, replaced, or deleted by a Test User.
  • After 10 days from approval, the test account, saved inventory, and uploaded images may be automatically and permanently deleted.

4. Add a New Item

  1. Click + Add item.
  2. Fill in details across the available tabs.
  3. Add obverse and reverse images when available.
  4. Review the information carefully.
  5. Click Save.

Saved Test User items become locked from further edits, deletes, or replacements.

5. Import XLS/XLSX Data

  1. Use the MyNumisVault prompt with ChatGPT.
  2. Generate the XLS/XLSX field sheet.
  3. Import the file into a new item.
  4. Review all populated tabs, including Catalog.
  5. Save the item when ready.
A Test User can import data for a new item, but cannot use import to change a saved item later.

6. Upload Images

  • Upload obverse images.
  • Upload reverse images.
  • Add supporting images where useful.
  • Use clear, well-lit photos for better documentation.

Images help document the item and support future identification, cataloging, grading, or verification.

7. Export Encrypted Backup

  1. Click Export encrypted backup.
  2. Enter a backup password.
  3. Download the encrypted backup file.
  4. Store the password safely.
The backup password cannot be recovered if forgotten. Account password reset is also unavailable on this site, so users must remember their account password.

8. Password Reset Unavailable

Forgot password and password reset features are not available on this site.

  • Remember your account password and store it securely.
  • MyNumisVault cannot reset or recover your password through the website.
  • A forgotten password may prevent access to the account and does not create a refund right.

9. Upgrade to Full Access

Full Access is for users who need complete inventory control.

  • Add more than 5 items.
  • Edit saved items.
  • Delete saved items.
  • Replace or update item data freely.
  • Manage a full collection without trial restrictions.

For now, Full Access is controlled by the admin. Stripe billing can be connected later.

1. Request Full Access

  1. Open MyNumisVault.
  2. Enter your email address.
  3. Enter your password.
  4. Select Full access — paid access required.
  5. Click Request Access.
  6. Wait for the site owner/admin to approve your Full Access account.

2. Log In After Approval

  1. Return to the MyNumisVault login page.
  2. Enter your approved Full Access email address.
  3. Enter your password.
  4. Click Sign in.

After login, you can manage your full inventory without the Test User restrictions.

3. Full Access Capabilities

Full Access is intended for users who need complete inventory control.

  • You can add new items to your collection.
  • You can update existing saved items.
  • You can delete items you no longer want in your inventory.
  • You can replace or refresh item information using import tools.

4. Add or Edit Items

  1. Click + Add item to create a new inventory record.
  2. Select an existing item to review or update it.
  3. Edit the fields across the available tabs.
  4. Upload or update images where needed.
  5. Click Save to store your updates.

Full Access users can save changes to existing items.

5. Import XLS/XLSX Data

  1. Use the MyNumisVault prompt with ChatGPT.
  2. Generate the XLS/XLSX field sheet.
  3. Import the file into a new or existing item.
  4. Review all populated tabs, including the Catalog tab.
  5. Save the item after confirming the updates.
Full Access users can use XLS/XLSX import to update existing item fields across the tool.

6. Upload and Manage Images

  • Upload obverse images.
  • Upload reverse images.
  • Add supporting images, certificates, labels, or holder photos.
  • Replace images when better photos become available.

Clear images improve documentation and make future identification, cataloging, and verification easier.

7. Export Encrypted Backup

  1. Click Export encrypted backup.
  2. Enter a backup password.
  3. Download the encrypted backup file.
  4. Store the backup file and password securely.

8. Use Reports and Filters

  • Search your inventory by keyword.
  • Use filters to narrow results.
  • Review item counts and collection details.
  • Keep your inventory updated as your collection changes.

Full Access is designed for ongoing collection management.
